This Privacy Policy explains how VidyaHQ ("we", "us") collects, uses and protects information when you use our mobile application and related services (the "Service").
Information we collect
- Account & contact data: your mobile phone number, used to sign in via a one-time password (OTP) sent over WhatsApp, and your name and role at your institute.
- Institute data you enter: information you add to run your institute — students, parents, batches, attendance, fee plans, invoices and payments. You are the owner and controller of this data.
- Payment data: subscription payments are processed by our payment partner (Razorpay). We do not store your full card or bank credentials; we retain only transaction identifiers and status.
- Usage & diagnostics: app analytics and crash reports (via Google Firebase) such as device model, OS version and in-app events, used to keep the app stable and improve it.
How we use information
- To provide, secure and operate the Service and your account.
- To send OTPs and transactional notifications (e.g. fee reminders).
- To process subscription payments and prevent fraud.
- To diagnose problems, analyse usage and improve the app.
- To comply with legal obligations.
Sharing & third parties
We do not sell your personal information. We share data only with service providers who help us run the Service, under appropriate safeguards:
- Razorpay — payment processing and subscription mandates.
- Meta (WhatsApp Business Platform) — delivery of OTP and notification messages.
- Google Firebase — analytics and crash reporting.
Data retention
We retain your data for as long as your account is active or as needed to provide the Service. On account deletion we delete or anonymise your personal data within a reasonable period, except where retention is required by law (e.g. financial records).
Your rights & account deletion
You may access, correct or delete your data. To request deletion of your account and associated personal data, email us at vidyahq@gmail.com from your registered number or through the in-app support option.
Children's privacy
The Service is intended for institute owners, managers and enrolled students using it under their institute's supervision. It is not directed to children under 13, and we do not knowingly collect their data directly.
Security
We use encryption in transit (HTTPS), tenant-isolated data storage and access controls to protect your information. No method of transmission is 100% secure, but we work to safeguard your data.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
